How to set up your email account on Gmail
Google has removed the ability to add external email accounts to Gmail via POP3 and SMTP. This guide explains how to use a dedicated mail client to access your Kualo email and Gmail side by side - and why we do not recommend forwarding your email to Gmail.
Google has removed the ability to add external email accounts to Gmail via POP3 and SMTP. If you previously used Gmail's "Check email from other accounts" feature to fetch mail from your Kualo mailbox, that option is no longer available.
The good news is that a dedicated mail client gives you the same convenience - and often more - by letting you connect both your Gmail account and your Kualo email account side by side in a single app.
A note on forwarding email to Gmail
We do not recommend forwarding your Kualo email address to Gmail. When Gmail receives forwarded mail and marks it as spam, it can report the sending server's IP address back to spam blacklists. Because your email is sent from a shared server, this can affect every other customer on that server - not just you. The better approach is to add your Kualo email account directly to a mail client, as described below.
What is a mail client?
A mail client is an application you install on your computer or phone that connects directly to your email accounts using standard protocols (IMAP or POP3 for incoming mail, SMTP for outgoing mail). You can add as many accounts as you like, so your Gmail inbox and your domain email inbox both appear in the same place.
Finding your Kualo email settings
Before you set up a mail client, you will need your incoming and outgoing server details. You can find these in your cPanel account.
If you are unsure of your email password, you can reset your mailbox password in cPanel.
We recommend using IMAP rather than POP3 when setting up your Kualo email in a mail client. IMAP keeps your messages stored on the server, so you can access them from any device at any time.
Recommended mail clients
The following are popular, well-supported mail clients that work well with both Gmail and Kualo email accounts.
Windows
- Microsoft Outlook - part of Microsoft 365, or available as a standalone app. Widely used and supports multiple accounts. We have a guide on setting up a secure IMAP account in Outlook 2016.
- Mozilla Thunderbird - free and open-source, with strong multi-account support. We have a guide on setting up your email in Thunderbird.
- Windows Mail / Outlook (new) - the built-in mail app on Windows 10 and 11, which supports Gmail and IMAP accounts.
macOS
- Apple Mail - built into macOS and supports multiple accounts including Gmail and IMAP. We have a guide on setting up a mail account using IMAP in Apple Mail.
- Microsoft Outlook for Mac - a good choice if you already use Microsoft 365.
- Mozilla Thunderbird - also available on macOS.
Android
- Gmail app - you can still use the Gmail app on Android to add an IMAP or POP3 account alongside your Gmail account. The app supports external accounts even though the web interface no longer does.
- Microsoft Outlook for Android - supports multiple account types in a single inbox.

iPhone and iPad

- Microsoft Outlook for iOS - supports Gmail and IMAP accounts side by side.
Adding Gmail to a mail client
When adding your Gmail account to a mail client, you will usually need to use OAuth (signing in with your Google account) rather than a plain password. Most modern mail clients handle this automatically - look for a "Sign in with Google" option when adding the account.
