Update your company profile
Complete your company details, including the physical address that anti-spam law requires in every campaign.
Before your first campaign goes out, your company profile needs to be complete - most importantly your physical postal address, which anti-spam law requires in every marketing email. MailMachine pulls these details into your campaigns for you, so filling them in once saves you adding them by hand every time.
Why this matters
- It's a legal requirement. Every campaign must include a valid physical address.
- It builds trust. A complete, professional profile reassures recipients you're a real business.
- It keeps you consistent. Your company logo can be reused across your emails.
Update your profile
- Go to the Settings menu and click Organization Profile.
- Click the pencil button to edit each section.
You can add or edit:
- Company logo (can be used in your emails)
- Legal company name
- Address
- Phone number
- Website
The address you enter here is the one used to satisfy the legal requirement in your campaigns, so make sure it's a real, current postal address - the same one you're happy to show at the foot of your emails.
Keep it current
- Update your details whenever anything about your company changes.
- Fill in every relevant field for a professional appearance.
- Use a clear, high-quality logo.
- Double-check the postal address, and that phone numbers and URLs actually work.
Troubleshooting
Can't upload the logo - keep it under 5 MB, use PNG or JPG, and try reducing the resolution if it's a large file.
Address validation errors - complete every required field, use a standard address format, avoid unusual characters, and check the postal code.
Changes won't save - save after each edit, watch for validation errors, and try editing one field at a time.
Logo doesn't appear in emails - publish your changes, and make sure your template actually includes the logo. Clearing your email client's cache can help it show.
Can't edit company information - you'll need administrator privileges, and the account must be active.
Website URL rejected - include the full address with https://, remove any trailing spaces, and use a standard domain format.
