Add your physical address

A valid physical address is legally required in every campaign - how to set it and place it in your emails.

Anti-spam law requires a valid physical postal address in every marketing email - it identifies you to your recipients and supports the unsubscribe process. MailMachine pulls it from your company profile, so once that's set you can drop it into any campaign. This guide covers both.

Set your address in your profile

The address comes from your company profile, and the system will add it to the foot of a campaign automatically if it can't find the merge field.

  1. Select Settings, then Organization profile.
  2. Click the pencil next to Address.
  3. Update it and save.

Place it in the email designer

  1. Select Campaigns and open your template or draft.
  2. Select Edit Email.
  3. Type [CLIENTS.ADDRESS] wherever you want the address to appear - it's pulled from your company profile, and you can style it (colour, size and so on).
  4. Alternatively, use the Merge Tags option and choose Full Address.

In the HTML editor

If you're starting from your own code, paste it in via Start from scratch > Start with your own code > Upload and Edit, then type [CLIENTS.ADDRESS] where you want the address and style it from the toolbar.

The legal bit

Your address must be valid and current for at least 60 days after a message is sent, and complete. Acceptable forms include a street address, a PO box, a rural route, or a general delivery address. Beyond compliance, a real address builds trust, helps deliverability, and heads off complaints.

Troubleshooting

The address doesn't appear - check the merge field is inserted and your profile holds a complete address, and preview to confirm the automatic footer addition.

The campaign won't send - a valid physical address is required; update your profile if it's missing or incomplete.

Formatting issues - use standard formatting for your country and avoid special characters that may not display.

Profile address won't update - save after editing, and log out and back in to refresh.
